PDF is a device independent graphical format. In case you have an OpenDocument and want someone with Microsoft tools to see it properly, it is usually wiser to convert to PDF and sent that version. Otherwise fonts and line brakes may mess the graphical layout on the other device (e.g. Microsoft Word). PDFs seem to always display appropriatelly.
Morever your bosses usually do not know how to edit PDFs, so it is harder for them to remove the Author note on the first page and replace it with own name.
